Accounts Payable Administrator - 11 Month Contract

About the Opportunity

  • Obtains vendors’ invoices from purchasing and via the mail and email
  • Matches the invoices to the supporting documentation, and submit for approval from department manager
  • Code and enter vendors’ invoices, verifies input and updates the system
  • Weekly EFT payments
  • Prepares the weekly cheque run and generates the cheques for US and CAD entities, and forwards the cheque package (cheque and supporting documentation) to the signing officer
  • Once cheques are signed, put in envelope, issue postage and put in mail
  • Prepares debit memos as directed
  • Liaises with several departments and managers to resolve issues related to purchase orders and inquiries from US and Canadian vendors
  • Liaises with new suppliers in the account set-up process
  • Files vendors’ invoices accurately and in a timely manner
  • Daily Accounts Payable reconciliation to General Ledger
  • Update Intercompany pricing spreadsheets daily
  • Add postage to both CAD and US postage machines
  • Year-end filing
  • Petty Cash
  • Update and distribute Daily Sales Report
  • Scan and deposit all customer cheques that come in through daily mail
  • Monthly employee anniversary cards
  • Monthly journal entries
  • Non-inventory accruals
  • Provides support to accounts receivable and invoicing.
  • Handles other duties as assigned
  • Process and distribute all incoming mail
  • Process and ship the inter-branch courier shipment
  • Actively backup reception as needed

About You

  • Minimum grade 12 education
  • Minimum 3 years experience in accounting
  • Basic knowledge of excel and word
  • Experience with computerized information systems
  • Detailed oriented and verifies accuracy of documentation
  • Good communication and interpersonal skills
  • Experience in the manufacturing industry is an asset

Pay Rate

$18 - $20/hour
