Senior Administrative Assistant

About the Opportunity

  • Reconcile expenses and credit card reconciliations as per Expense Report guidelines
  • Assist in preparation of presentations using PowerPoint and Excel
  • Assist with travel arrangement for executives as required; including booking flights, hotel accommodation, car
  • rental and providing full details
  • Assist in executive expense reports on a timely basis
  • Manage executive’s correspondence management; distribute, file, retrieve, reports and documents of a routine and/or confidential nature
  • Assist in the preparations of quarterly reports
  • Other duties as assigned
  • Setting up boardroom and meeting rooms for internal & external meetings (laptop, tv, phone, refreshments, etc.)
  • Book/mark the calendar and ensure that all pertinent meeting materials are available & set-up
  • Front desk duties as required
  • Maintaining kitchen areas: including all equipment and kitchen cabinets
  • Maintaining inventory for supplies
  • Contact person for IT related issue and liaison with external IT regarding issues (i.e. telephone, computer software
  • and hardware, photocopier, smart phones)
  • Ensure Outlook databases and distribution lists are maintained
  • Manage corporate licenses and vendor contracts as required
  • Assisting with general IT level help at head office
  • Other duties as assigned

About You

  • 3+ years of experience and successful demonstration of responsibilities as presented above Strong organizational and time management skills with prioritizing and multi-tasking abilities to meet time sensitive deadlines
  • Self-starter attitude
  • Open and adaptable to providing all types of support to the office and work as a team member
  • Attention to detail and problem-solving skills
  • Proficiency in MS Office (Excel, Word, Outlook and PowerPoint) in particular
  • Excellent written and verbal communication skills
  • Diploma or Bachelor’s degree in Business Administration, Office Administration or related field 

Pay Range
$55,000/year
