About the Opportunity

  • Record subcontractor bills and various expenses to general ledger accounts and appropriate project numbers and cost centres
  • Perform analytical reviews of subcontractor bills and expense reports being submitted to accounting, ensuring proper project coding and accuracy
  • Ensure retail sales tax amounts are adequately and accurately recorded
  • Perform further analytical reviews as needed of various overhead expenses, ensuring amounts are accurate, approved, and within acceptable budget guidelines, if applicable
  • Verify vendor account balances by reconciling monthly statements and related transactions
  • Research and resolve purchase order, contract, invoice, or payment discrepancies and documentation; ensuring credits are received and adjustments made, if applicable 
  • Help to ensure that payment terms being entered into by project managers are reasonable and can be accommodated by the company. Liaise with project managers and suppliers, if needed, to procure better payment terms and assist company objectives of good cash management
  • Help to ensure that subcontractor bills are being examined, reviewed, and approved by project managers on a consistent and timely basis, achieving the objective that the company’s Accounts Payable accounts have complete records of all liabilities
  • Provide support to billing staff by ensuring copies of all subcontractor bills and receipts are adequately copied, in good order, and available for attachment to client invoices
  • Assist in cheque payment processing, ensuring that proper supporting documentation of amounts being paid are accessible to payment approvers
  • Assist with the timesheets process across Canada, ensuring all staff timesheets are submitted, approved, and posted to the accounting system on a timely basis each week
  • Ensure that timesheets being posted have accurate coding of overtime, vacation, statutory holidays, and overhead codes, in accordance with provincial statutes, if applicable
  • Ensure that the Employee Database in the system is accurate and up-to-date, including the additions of new-hires and any changes to attributes of existing employees. Liaise with Human Resources as necessary for any discrepancies

About You  

  • 5+ years’ experience in a similar position within the consulting industry or similar 
  • Ability to work independently with minimal supervision 
  • Strong organizational, time management, and priority setting skills in order to meet key weekly or monthly deadlines; strong attention to detail
  • Strong administrative and problem-solving skills 
  • Knowledge of Deltek Vision, or similar, would be an asset 
  • Knowledge of MS Excel and Word
  • Diploma or certificate in Accounting/Business preferred, including knowledge of debit/credit theory 
  • Excellent written and verbal communication skills in English; French would also be considered an asset but not required
  • Excellent interpersonal skills

Salary Range
$45,000-$50,000/year
